Keep the printer model, setup guide, Wi-Fi name, and the devices you want to print from together. Printer setup usually has two parts: connect the printer to the network, then add it to each computer, phone, or tablet.
Prepare the printer before connecting it
Use the instructions for the exact printer model. Remove the marked packing material, install the correct ink or toner, add paper, connect power, and wait for the printer to finish starting.
If the printer shows an error, address that message before starting Wi-Fi setup. Do not force a tray, cartridge, or cover that does not move normally.
Connect the printer to the correct Wi-Fi
Have the Wi-Fi network name and password ready. Follow the printer maker's setup screen, official app, or printed guide. Download software only from the printer maker, Microsoft, Apple, or an official app store.
Make sure the printer and the device used for setup are joining the intended home or office network. A guest network may prevent devices from finding one another.
Add each computer or phone
After the printer joins Wi-Fi, add it through Printers and scanners in Windows, Printers and Scanners on a Mac, AirPrint on a supported Apple device, or the printer maker's official mobile app.
Print a simple test page from each device that matters. If the printer includes a scanner, test scanning separately because scanning may use another app or setup step.
Keep the error message if setup stops
Note the exact message and the step where setup stopped. Check whether the printer works from one device but not another, or whether no device can find it.
Avoid factory-resetting the router or changing several network settings at once. The printer model, Wi-Fi equipment, device type, and error message can help narrow down the next step.
